Overview

The Project Administrator plays a crucial role in ensuring the successful execution and management of projects within the company. This position involves comprehensive administrative support, aiding in project planning, execution, and monitoring alongside the Operations team as a whole. Success in this role is marked by effective coordination, impeccable organization, and timely project delivery, directly contributing to the company's operational efficiency and project outcomes.

 

Responsibilities

  • Coordinate meetings, manage communications, and ensure all necessary resources are secured.
  • Document and maintain accurate records of meetings, manage project documentation, and update project calendars.
  • Track project tasks using project management software and ensure timely completion in collaboration with the Operations team.
  • Develop and manage project budgets, track expenses, and order supplies to support project needs.
  • Input data related to change orders, subcontract issuance, billing, and invoice tracking.
  • Handle the management of GMP billing inputs and invoice processes.
  • Organize and update project folders and ensure that documentation is current and accurate.
  • Coordinate with Accounting and Purchasing Departments to streamline financial and procurement processes.
  • Schedule and organize project-specific events such as appreciation lunches and client outings.
  • Maintain accurate and up-to-date project information on the Rivet platform through regular coordination with office and field leaders.

 

Qualifications

  • Bachelor’s degree in business administration, project management, or a related field preferred.
  • Proven experience in a project administration, coordination, or similar role.
  • Strong organizational abilities, proficiency in Microsoft Office Suite and project management software, excellent communication skills.
  • Detail-oriented, analytical, able to work effectively under pressure, and possesses strong multitasking capabilities.
  • Project management certification (e.g., PMP) is advantageous but not required.
  • Capable of meeting the physical requirements of the office environment and occasional on-site visits.
